- Managing and organizing appointments, meetings and sessions for lawyers and legal advisors, following up on the legal calendar and adhering to statutory deadlines.
- Preparing, drafting and coordinating official correspondence and letters, minutes of meetings, and other administrative and legal documents in accordance with the highest standards of accuracy and professionalism.
- Organizing and archiving legal files, documents, and papers in paper and electronic form, and ensuring easy access to them while maintaining their confidentiality
- Follow up on incoming and outgoing correspondence, and coordinate with courts, government agencies, clients and relevant parties to ensure that work is completed on time
- Preparing the legal files and documents necessary for sessions and meetings, and following up on the completion of documents and regulatory requirements
- Providing administrative support to lawyers and legal advisors, and following up on the implementation of daily administrative tasks to ensure efficient workflow
- Receiving customers and visitors, dealing with their inquiries professionally, and directing them to the competent authority
- Follow up on deadlines related to cases, contracts, memorandums, and official correspondence, and notify those concerned about them in a timely manner
- Entering and updating data on the office’s electronic systems, and preparing periodic administrative reports when needed
- Maintaining the confidentiality of information, documents and data related to clients and cases, and adhering to the highest standards of integrity and professional ethics
Requirements:
Diploma or bachelor's degree in office administration, business administration, secretarial, law, or any related specialty
Practical experience in the secretarial field, preferably with a company, law firm, or legal consultancy
Experience in managing correspondence, legal archiving, organizing files, scheduling appointments, and supporting administrative work
Proficiency in using Microsoft Office programs, especially Word, Excel, and Outlook, with the ability to prepare and format documents professionally.
High skills in business organization and time management, and the ability to prioritize and handle multitasking
Distinctive ability to communicate professionally and deal with clients and official bodies with the highest levels of tact and professionalism
The ability to maintain the confidentiality of information and legal documents, and to work according to the highest standards of accuracy and responsibility
Ability to work under pressure and adhere to deadlines, with speed of completion and quality of performance
Familiarity with judicial procedures and justice systems, and dealing with electronic justice platforms, is preferred
