Job Description:
- The Office Administration and Sales Support Administrator is responsible for providing administrative and operational support to the sales team, ensuring smooth execution of operations, maintaining accurate records, supporting customer communication, preparing quotations, coordinating order follow-up, and preparing sales reports for management. The incumbent acts as a key liaison between customers, the sales team, management, and other departments to ensure customer satisfaction and efficient operations.

Main duties and tasks:
Sales management support:
• Preparing, reviewing and issuing quotations in accordance with approved pricing policies
• Send quotations directly to customers or sales representatives as needed
• Follow up on the quotations submitted and keep their records
• Providing administrative support to the sales team regarding orders and inquiries
• Assist in preparing contracts, correspondence and documents related to clients
• Continuously updating the customer and sales database
Communicating with customers and following up on orders:
• Communicate with customers to confirm receipt of quotations and purchase orders
• Follow up on the status of orders and coordinate with customers regarding supply and delivery
• Maintaining continuous communication with customers to ensure their satisfaction with the service
• Receiving customer complaints, documenting them, and referring them to the competent authorities
• Follow up on handling complaints and inform customers of the actions taken
Pricing and quotation management:
• Preparing quotations in accordance with approved prices and policies
• Coordinate with the Sales Manager regarding special price requests and exceptions
• Maintain a record of all quotes, amendments and approvals
• Ensure that quotations are issued accurately and on time
Reports and sales analysis:
• Receiving weekly and monthly reports from sales representatives
• Compile and analyze sales data and prepare administrative reports
• Preparing sales performance reports, sales opportunity reports, and following up on sales lines
• Preparing the necessary presentations and summaries for the sales manager
• Maintain accurate records of sales activities and customer communication
Administrative support and office organization:
• Organizing and archiving paper and electronic files
• Save and organize customer files, quotes, purchase orders and contracts
• Coordinating and scheduling meetings, appointments and visits for the sales team
• Preparing meeting agendas and documenting meeting minutes when needed
• Coordination between sales and other departments such as operations, finance and administration
• Managing incoming and outgoing correspondence related to sales activities
Data management and adherence to procedures:
• Ensuring the accuracy and confidentiality of customer and company data
• Updating and managing data in ERP and CRM systems or approved systems
• Support management in implementing the company’s policies and procedures
• Follow up and update customer data and sales records
Requirements:
  • Bachelor's degree in Business Administration, Marketing, or any related field
  • Proficiency in using Microsoft Office programs, especially Excel, Word, PowerPoint, and Outlook
  • Experience with ERP and CRM systems is preferred
  • Excellent organizational and communication skills
  • High ability to manage time and work on several tasks at the same time
  • Proficiency in Arabic and English, written and spoken
Language requirements:
  • English-fluent

Salary Range: 5000 - 6000 S.R.
