• Prepare the agenda for the Executive Director and assist in planning appointments, board meetings and conferences
• Receive phone calls, forward them, and manage email
• Coordinating and attending meetings on behalf of the Executive Director
• Receiving and forwarding phone calls upon request
• Dealing with outgoing and incoming correspondence and arranging them according to priorities
• Prepare and process travel arrangements for executives
• Treat documents confidentially and ensure they remain secure
• Preparing invoices and financial statements and providing bookkeeping assistance
• Maintain electronic and paper records and ensure information is organized so that it is easily accessible
• Conduct research and prepare presentations and reports upon request
• Booking rooms, preparing agendas, and taking minutes of meetings
• Act as a liaison between the Executive Director and the rest of the departments to ensure smooth work
• Collect data from multiple sources such as internal databases, market reports, and external sources
• Provide analysis-based insights and recommendations to improve business operations and increase efficiency
• Develop and update analysis models used to track performance and achieve strategic objectives
• Secure digital documents with passwords and specify access permissions to ensure the confidentiality of information
Requirements:
Proficiency in using Microsoft Office programs
Previous experience in secretarial field
Proficiency in spoken and written English
Strong leadership and supervisory skills to manage on-site work teams
