- Supervising the receipt, recording, and classification of all correspondence arriving at the Office of the Executive Director, and preparing and opening files to preserve them in a way that is easy to refer to.
- Supervising the sorting of incoming letters, documents, studies, reports, publications, books, and invitations, classifying them according to their type, source, importance, and degree of urgency, and informing the Executive Director of them.
- Receiving the Executive Director’s directives regarding the content of the response to the incoming letters and reports that must be responded to, and taking procedures to print it according to the approved forms and procedures, proofreading it and ensuring that it is free of spelling and linguistic errors, and presenting it to the Executive Secretary for approval and signature.
- Addressing the association’s departments with a request for whatever reports, memoranda, or studies the executive director may need, and coordinating with the directors of these departments to prepare them.
- Keeping confidential files of the Executive Director’s Office in a place that preserves their confidentiality
Requirements:
Qualification not less than a diploma
Proficiency in using computers and office programs (Word - Excel)
Experience in the field of secretarial work in non-profit sectors
