Job Description:
Maintaining the CEO's agenda, assisting in planning appointments, board meetings, conferences, etc., and attending meetings
Receive and forward phone calls and perform a variety of administrative tasks
Functional tasks:
Preparing the agenda for the CEO and assisting in planning appointments, board meetings, conferences, etc.
- Coordinating and attending meetings on behalf of the General Manager (if needed)
- Receive and forward phone calls on demand
- Dealing with incoming and outgoing correspondence and arranging them according to priorities
- Preparing and processing travel arrangements for the General Manager
Handling confidential documents and ensuring that they remain secure
- Preparing invoices and financial statements and providing bookkeeping assistance
Monitoring office supplies and negotiating with relevant auditors
Maintain electronic and paper records and ensure information is organized so that it can be easily accessed
- Conducting and submitting reports upon request
Skills needed for the secretary job:
- Proficiency in the use of Microsoft Office programs
Good knowledge of office management and basic accounting procedures
Proficiency in dealing with technical vocabulary for different industries
Familiarity with basic research methods and reporting techniques
Possess strong organizational skills and excellent time management
- Ability to negotiate and persuade
- Good communication skills with different personalities
Integrity and confidentiality in dealing with various data
Requirements:
Bachelor's degree in Business Administration/Public Administration or similar
Experience of not less than 3 years
The ability to manage time, carry out various tasks and represent the entity to government and commercial agencies upon request
