Role Purpose:
- Job holders at this level are responsible for undertaking a range of activities that aims to manage the SP store in a safe and effective manner. Including SP flow management, SP inventory level control, SP purchase requests management, housekeeping, SP physical and book keeping and team supervision.
Carrying out a set of tasks and activities aimed at managing a warehouse of spare parts in a safe and effective manner. This includes managing the flow of spare parts, following up on stock levels, following up on purchase orders, arranging and organizing the warehouse, supervising the work team, and maintaining stock and its balances.
- Material Planning and Inventory Level Control: Continuously monitor the level of SP inventory to assure sustainable supply for the departments, release purchase requests for materials reach the reorder point or when concern Dept. needed and follow up with procurement till receiving, and arrange to keep the parameters of the SP valid, like the ABC classification, reordering parameters.
Monitoring and controlling stock levels:
Continuously monitoring spare parts inventory levels to ensure the continuity of supply to other departments, issuing purchase orders for spare parts when they reach the demand limit or when needed from the concerned department, and following up with the procurement department until the materials arrive. And coordination with the concerned departments to activate the limits of demand and the classification of ABC for spare parts and update that upon any change in the behavior of material consumption.
Spare Parts Transactions:
- Facilitate and control the process of parts receiving and issuing and manage the return process of SP, with assurance of its quality and quantity.
Receipt and exchange of spare parts:
Facilitating and controlling the receipt and exchange of spare parts and dealing with cases of returning spare parts to the warehouse.
Storing Area Organization:
- Understands material type, safety concerns and consumption behavior to determine location through established zoning and allocation instructions in order to ensure optimum storage conditions and area utilization in line with requirements and to
facilitated retrieval.
Warehouse organization:
It identifies the type of materials coming to the warehouse and their characteristics so that it can determine the optimal place to store each material in order to preserve it and based on the safety requirements and the nature of the material consumption. It also classifies and codifies all the incoming materials to facilitate the process of inferring them, dispensing them and counting them accurately.
Physical Inventory Program:
- Implement a physical stock count as per system, quarterly and randomly on monthly base, to assure accurate books continuously and find out deviations early to be justified and corrected.
Stock control:
It continuously monitors the stock level and carries out inventory operations according to the company's system, and ensures the accuracy of the data related to the stock, in terms of quantity and quality, to discover differences early.
Process Improvement:
- In line with the organization’s continual improvement he / she reviews current procedures and processes with a view to data opportunities for improvement of Warehouse operations.
Modernization and development of work procedures:
In conjunction with the company’s policy based on continuous improvement, the warehouse keeper will periodically review and evaluate the procedures and processes followed in the ready warehouse to develop them to become more effective.
ERP:
- Maintain and facilitate an effective utilization of ERP, including; reporting, planning, accurate and on time receiving and issuance transactions.
Resource Management System:
Maintaining and facilitating the effective use of the resource management system, including issuing reports, accuracy, receiving and issuing information on time.
Reporting:
- Develop periodical reports describes the performance in terms of some SP, PR’s status report and any other reports required by warehouses manager.
writing reports:
He submits periodic reports on the performance of the warehouse, including the balances of some important parts, and follows up on the progress of the implementation of purchase orders and any other reports requested from the warehouse manager.
Housekeeping:
- Ensures that the workplace, all storing areas and offices are kept in a clean, tidy and organized state and that all work is out in full compliance with the 5S and housekeeping principles.
- Ensures that the storing areas are well-equipped and match the requirements and nature of materials stored in.
Arranging and organizing the workplace: ensuring that the workplace is kept clean and tidy and that all work tasks are carried out in accordance with the five pillars system applied in the company. Ensure that the storage places are adequate and prepared for the conditions and nature of the materials storage.
Appearance and Image:
- Keeps staff and self-well-presented through taking pride in the company uniform and observing personal hygiene standards and behaviors that enhance the company image.
Ensure that employees adhere to the recognized behaviors of the company and take pride in them by adhering to the dress code required for work and applying personal hygiene standards, which maintains the image and reputation of the company
