Job description:
- Prepare the monthly schedule and work of the administration
- Preparation of the weekly plan for the work of the Department
- Maintain the overall appearance of the Office of Senior Management in terms of cleanliness and arrangement
- Welcoming and welcoming management visitors and helping them to reach the nearest employee who can serve them, as well as organizing incoming and outgoing calls to and from the company
- Coordination of interview schedules
- Editing and printing letters and letters of management
- Save and maintain all files of the Office of Management in a manner that ensures the safety and speed of the call
- Receiving and directing the mail and fax in the name of the administration and presenting it to the specialist and indexing these documents
- Receive, direct and send e-mail messages for management and indexing these messages
- Registration of the mail and fax issued by the Office of Administration and Indexing of outgoing faxes
- Writing minutes of all meetings and meetings
- Preparation for meetings of the administration or periodic meetings and the coordination and processing of all documents and documents relating to the subject of the meeting
- Assist management in all work not included in this description
- Receiving and conducting telephone calls for the management office and indexing phone numbers and addresses
- Ensure that all office and electrical devices are in continuous working condition and request maintenance officers from inside and outside the company and follow-up maintenance work for all office equipment in the office of administration
- Ensure availability of all office and stationery tools for administration and personnel in the Office of Management
- Invite invitations to participants in the meetings
- Booking of travel tickets, hotels and entrance tickets for exhibitions of management and organization of business trips
- Writing a weekly report to show what has been done and what has been postponed with a reason
- All of the above should be done in accordance with the formal procedure adopted by the Secretariat
- Issuing purchase orders for office equipment and stationery
- Dealing with Internet browsers, effective communication skills and communication of information to specialists and non-specialists
Requirements:
  • Experience of at least one year in the same job
  • For dealing with printing machines, photocopying, faxes, paper napkins and packaging machines with a very good degree
Language requirements:
  • English-good
