To provide support for GM and other top level executives by providing executive level administrative and clerical support for an efficient and smooth functioning of their offices.
Tasks:
• Administer Company email address.
Reading and analysing emails from Companies, Principals, SFDA, MOH, SGH, shipping and forwarding companies, customers (hospitals, etc.), checking their significance; routing to appropriate personnel in a timely and efficient manner. Answering emails if routine emails.
• Act as the point of contact between Mr. Mohammed Shams and Managers of all Companies/principals
• Prepare Business correspondence
• Respond to business correspondence.
• Scheduling meetings, making travel arrangements and organizing calendars of Mr. Mohammed Shams and Family
• Maintain Mr. Mohammed Shams schedules, including scheduling travel and meetings, making appointments, and making changes to appointments.
• Create reports as required by Mr. Mohammed Shams and other Management (using PowerPoint and Excel) collect and analyze information.
• Prepare presentations as required by Managers for presentation to variety of audiences.
• Opening, sorting, and distributing correspondence, including email, faxes, and snail mail.
• Provide clerical and general office support to other offices.
• Generally responsible for processing DHL, SMSA, ARAMEX invoices for payment.
• Perform other “personal” tasks
