Responsible for supporting high level executives and management or entire departments, provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing,
handling visitors, travel documents, ticketing.
Responsibilities
1. Provide administrative and clerical support to department
2. Schedule meetings (New Meeting, Confirmation, Cancelation, Postpone) and arrange meeting rooms
3. Manage the department correspondences (Post, Email, Fax, Phone and Shipments) and Effectively Communicate with other parties
4. Manage Send/Receive/Follow up Documents from/to Various Divisions/Departments/Others and ensure appropriate records
5. Greet and Receive Internal/External visitors
6. Coordinates office management activities
7. Determine matters of top priority and handle accordingly
8. Coordinate travel arrangements, prepare itineraries and maintain travel records
9. Reconcile travel invoices and prepare payment request
10. Operate office equipment, such as photocopy machine, scan and fax
11. Manage visa and entry permits of managers and their family members
12. Make sure adequate office supplies are on hand including letterheads, envelopes, business cards, files, cartridges, etc.
13. Setup and maintain the filing system to ensure accurate and speedy retrieval of required documents and reports
14. Binding and scanning of office documents, presentations and reports.
