- The Bidding/Proposal Manager is responsible for overseeing the end-to-end bidding process for the company's responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and other solicitation documents. This role involves coordinating cross-functional teams, managing timelines, ensuring compliance with RFP requirements, and delivering high-quality proposals that reflect the company’s technical, financial, and strategic capabilities. The Bidding Manager will also contribute to pricing strategies and competitive positioning.
Key Responsibilities:
Proposal Management:
- Lead the proposal development process for RFPs, RFIs, and other tenders from inception to submission.
- Develop and manage proposal schedules, ensuring all deadlines are met.
- Collaborate with internal stakeholders to gather and consolidate technical, financial, and operational information required for the proposal.
- Ensure that all proposal submissions comply with client specifications and requirements.
- Perform final reviews and approvals of all documents before submission.
Cross-Functional Coordination:
- Serve as the main point of contact between technical teams, finance, legal, and marketing departments.
- Facilitate bid/no-bid decision processes with senior management.
- Coordinate with subject matter experts (SMEs) to develop and customize proposal content.
Proposal Writing & Editing:
- Write, edit, and structure key sections of the proposal, ensuring clarity, coherence, and technical accuracy.
- Develop tailored executive summaries and other key proposal elements that address client needs and showcase the company's strengths.
Financial & Pricing Strategy:
- Work closely with finance and sales teams to develop competitive pricing strategies.
- Review financial proposals to ensure alignment with the technical solutions proposed and market competitiveness.
Compliance & Risk Management:
- Ensure that all proposals are compliant with client specifications, government regulations, and the company's internal policies.
- Identify risks associated with the proposal and suggest mitigation strategies.
Post-Bid Review & Analysis:
- Lead post-submission debriefs to evaluate proposal outcomes and identify areas for improvement.
- Maintain a repository of past proposals, templates, and lessons learned to support future bids.
Client Relationship Management:
- Build and maintain relationships with key clients and stakeholders to better understand their needs and improve proposal quality.
- Represent the company at client meetings, briefings, and presentations.
